About these terms
These Terms & Conditions apply to physiotherapy services provided by Will Sharman Physio (“I”, “me”, “my” or “the Practice”).
By booking an appointment with me, you agree to these Terms & Conditions.
If you have any questions about these terms, please contact me before booking an appointment.
Physiotherapy services
I provide physiotherapy assessment, treatment, rehabilitation and related services from:

Mobile physiotherapy appointments may also be available by arrangement.
Treatment will be based on an individual assessment of your needs. I will discuss appropriate treatment options with you and will obtain your consent before providing treatment.
I may decide that a particular treatment is not appropriate for you and may recommend that you seek assessment or treatment from another healthcare professional where appropriate.
Appointments
Appointments can be arranged by telephone, email or WhatsApp.
Please provide accurate contact information when booking so that I can contact you regarding your appointment where necessary.
Please arrive on time for your appointment. If you arrive late, the appointment may need to finish at the originally scheduled time so that subsequent patients are not inconvenienced.
If you are significantly late, I may need to shorten or, where necessary, cancel the appointment.
Fees and payment
The fee for your appointment will be communicated to you when booking or before treatment.
Payment may be made by card using SumUp or by another payment method agreed with me.
Payment is normally due at the time of treatment unless otherwise agreed.
I reserve the right to update my fees from time to time. Any applicable fee will be confirmed before you commit to treatment.
Cancellation and missed appointments
I understand that circumstances can change and that sometimes an appointment needs to be cancelled or rearranged.
I ask that you provide at least 24 hours’ notice if you need to cancel or rearrange an appointment.
You can cancel or rearrange an appointment by telephone, email or WhatsApp.
Cancellation with 24 hours’ notice or more
There will normally be no charge for cancelling or rearranging an appointment with at least 24 hours’ notice.
Cancellation with less than 24 hours’ notice
Where an appointment is cancelled with less than 24 hours’ notice, I reserve the right to charge a cancellation fee of up to 50% of the appointment fee.
I will consider the circumstances of the cancellation and may waive or reduce the fee where I consider this appropriate.
Missed appointments
If you do not attend an appointment and have not contacted me in advance, I reserve the right to charge a no-show fee of up to 100% of the appointment fee.
I will consider the circumstances of the missed appointment before applying a charge.
Emergencies and exceptional circumstances
I appreciate that emergencies and unexpected circumstances can occur.
I will use reasonable discretion when applying cancellation or missed-appointment charges, particularly where circumstances were outside your reasonable control.
My cancellation of an appointment
There may be occasions when I need to cancel or rearrange an appointment, for example because of illness, an emergency or circumstances outside my reasonable control.
If I need to cancel an appointment, I will make reasonable efforts to give you as much notice as possible and will offer an alternative appointment where appropriate.
I will not charge you for an appointment that I cancel.
Clinical assessment and consent
Before providing treatment, I will carry out an appropriate assessment and discuss the proposed treatment with you.
You have the right to ask questions about your assessment and treatment and to withdraw your consent to treatment at any time.
You should provide accurate and complete information about your health, medical history, medication and any other information that may be relevant to your treatment.
If you do not provide relevant information, this may affect my ability to assess or treat you safely.
Your responsibilities
You should:
- provide accurate information about your health and medical history;
- tell me about any changes in your health or medication that may be relevant to your treatment;
- follow reasonable instructions and advice given during your treatment;
- tell me if an exercise or treatment causes unexpected or significant pain or other symptoms; and
- attend appointments at the agreed time.
You should not undertake exercises or activities that I have advised you not to undertake.
Exercise and rehabilitation programmes
Where appropriate, I may provide you with exercises or rehabilitation activities to undertake between appointments.
These programmes are based on the information available to me at the time of your assessment.
You should follow the instructions provided and contact me if you are unsure how to perform an exercise or if your symptoms change significantly.
If an exercise causes unexpected or significant symptoms, stop the exercise and seek appropriate advice.
Results of treatment
Physiotherapy can be beneficial for many conditions, but individual outcomes vary.
I cannot guarantee a particular result or recovery time from treatment.
Your response to treatment may depend on a number of factors, including the nature of your condition, your general health, adherence to your rehabilitation programme and other factors outside my control.
Medical emergencies
Physiotherapy is not an emergency medical service.
If you experience symptoms that may indicate a medical emergency, you should seek appropriate emergency medical assistance rather than waiting for a physiotherapy appointment.
If, during an assessment, I believe that your symptoms require urgent medical assessment, I may recommend that you seek urgent medical attention.
Referrals and other healthcare professionals
Where appropriate, I may recommend that you consult another healthcare professional.
I will not routinely contact your GP, consultant or another healthcare professional without an appropriate reason and lawful basis.
If you ask me to provide information to another healthcare professional, I may ask you to provide appropriate consent before doing so.
Clinical records
I maintain clinical records relating to the assessment and treatment I provide.
These records may include information about your medical history, assessment findings, treatment, exercises, advice and progress.
Clinical records are maintained electronically using Rehab Guru.

Communication
I may communicate with you by telephone, email or WhatsApp in relation to appointments and your treatment.
Please be aware that electronic communication carries some inherent risks and that third-party communication providers have their own terms and privacy policies.
I will take reasonable steps to protect your information and will avoid unnecessarily communicating detailed clinical information through ordinary messaging services.
Privacy and data protection
I process personal information in accordance with applicable UK data protection law.
My Privacy Notice explains:
- what personal information I collect
- how I use it
- how I store it
- who I may share it with
- how long I retain it
- your rights in relation to your personal information.
The Privacy Notice is available on my website.
Website information
Information provided on my website is intended to provide general information about my services.
It should not be relied upon as a substitute for an individual clinical assessment.
Information on the website may be changed or updated from time to time.
Mobile appointments
Mobile physiotherapy appointments may be available by prior arrangement.
For mobile appointments, I may need to consider whether the proposed location is suitable and safe for providing physiotherapy treatment.
I reserve the right to decline or rearrange a mobile appointment where I reasonably consider that the location or circumstances are unsuitable or unsafe.
Any applicable travel charges will be agreed before the appointment.
Complaints
I aim to provide a high standard of care and a positive experience.

I will take reasonable steps to investigate and respond to complaints appropriately.
Limitation of liability
I will provide my services with reasonable care and skill.
Nothing in these Terms & Conditions is intended to exclude or limit liability where it would be unlawful to do so.
I am not responsible for losses or consequences arising from information that you have knowingly or negligently failed to provide, or from failing to follow reasonable clinical advice, except where such limitation would be unlawful.
Nothing in these Terms & Conditions affects your statutory rights as a consumer.
Changes to these terms
I may update these Terms & Conditions from time to time.
The version applicable to your appointment will normally be the version in force at the time you book your appointment, unless otherwise agreed.
The latest version will be made available on my website.
Governing law
These Terms & Conditions are governed by the law of England and Wales.
Any dispute arising in relation to these Terms & Conditions will be subject to the jurisdiction of the courts of England and Wales, subject to any applicable consumer rights.
